Note: Release 4 is not compatible with Windows 95 and Windows 3.1.
 

Benefits and Features

  • It's easy to enter, edit and delete contributions. The program automatically keeps an audit trail. Deleted contribution entries are not included on reports generated to give to contributors.
  • When you enter a contribution for a member with a recorded pledge, the pledged-to contribution categories and amounts are displayed for the pledge in effect on the entry date. You can easily modify the displayed information to reflect the current contribution, if necessary, before you record the contribution.
  • When you enter a contribution for a non-pledging member, the contribution categories and amounts grid can be blank or display the previously recorded contribution (set in System Options). You can easily modify the displayed information to reflect the current contribution before you record the contribution.
  • If your congregation does not use numbered envelopes, you do not need to assign a number to each giving unit. The program can handle both contributors who are assigned envelope numbers and contributors who are not assigned envelope numbers.
  • You can apply a contribution received in the current pledge year towards the contributor's pledge for the next pledge year.
  • You can record non-monetary contributions.
  • Calendar Pledge Year: If your church follows a calendar pledge year, you can generate giving unit statements during and at the end of the calendar year for income tax purposes that show total amounts received by the church during the calendar year and include Pledge Status totals for the current calendar pledge year.
  • Fiscal Pledge Year: If your church follows a fiscal pledge year, you can generate giving unit statements during and at the end of the calendar year for income tax purposes that shows total amounts received by the church during the calendar year and include Pledge Status totals for the current fiscal pledge year.
  • You can have long-term pledges (Example: Church School Building 3 Year Fund Drive) that are separate from the yearly pledge using the "Additional Pledges" feature. Contribution Statement and Contribution List reports can include additional pledge status showing where the giving unit stands in the long-term pledge.
  • For pledging contributors who change their yearly pledge during the church pledge year, you can record new pledges or change the status to non-pledge. Pledge amounts are shown on a Pledge Report. For each pledging contributor, the report shows the total pledge amount for a single contribution and for the entire church pledge year even if there have been changes made to the yearly pledge during the church pledge year.
  • Family members in the same household can contribute through separate giving units and still be associated with their family group. Family members, such as children, can contribute through their own giving units. A family member's giving unit is "linked" to the family giving unit through the individual member's personal information.
  • When you generate a report, the report is displayed on the screen. There are many options you can select for a displayed report. You can resize, page in both directions or jump to a specific page, save the report to a file, print the report (any range of pages). On appropriate reports, you can select to print mailing labels for the people included on the generated report.
  • You can create user-defined mailing lists of giving units or individuals to generate mailing labels.

    Mailing labels can be generated with many different options right before printing to include: Envelope number, USA Zip+4 Delivery Point Barcodes (DPBC), all upper case letters with no periods or commas (US Postal Service recommendation), print in Zip/Postal code or report order, specify where the first label will be printed on the sheet. Basic mailing label information can be exported to an ASCII file for use in word processor mail merge or spreadsheet documents.
  • You can create Participation Lists (can be used to record attendance). Lists can include participation for all individuals or individuals assigned to a specific activity. Lists can be set up to record individual participation (by name) or the total number count for a specified date.
  • The Contribution Statement and Contribution Receipt user defined messages allow you to enter a message up to 1 page in length.
  • You can print a contribution receipt as part of the entry process or you can print receipts for contributors for a range of dates as well as for the contribution categories you specify.
  • Receipts can include Canadian tax requirement information: The receipt allows a Registration Number up to 25 characters. The name "Canada Revenue Agency" and their web address can be included on the Contribution Receipt message.
  • Reassigning of envelope numbers. If your church reassigns envelope numbers each year, the computer can automatically reassign envelope numbers to giving units currently assigned envelope numbers. The envelope numbers are reassigned in ascending numerical order to the giving units in alphabetical order by last name. Not for Fiscal Pledge Year.
  • You can enter pledges for the following year during the current year and generate a Pledge Report showing pledge totals for the following year. Pledges with a date in a future year are carried forward to the next year during the Year-End Routine.
  • There is an automated end-of-year routine that automatically "archives" your current church information in a different folder and sets up your data in the working folder for the new year. You will have access to the information in archive folders for future reference of previous years' information. The Year-End Routine is followed at the end of each calendar year - even for churches following a fiscal pledge year.
  • Using the program's Export feature, you can create tab delimited or comma-quotes delimited ASCII text files of the data for use in a spreadsheet, word processor or database. For example, the files created by the Export feature can be used as data sources when creating mail merge documents in Microsoft Word as well as when merging data into a Microsoft Excel spreadsheet. Many word processor, spreadsheet and database programs can import data from tab or comma-quotes delimited ASCII files.
  • If you use a financial software program that can import QIF files (such as the VIANSOFT® Church Treasurer for Windows, Microsoft Money or Quicken 2003 (or earlier)), you can create a QIF file to import the deposit totals to the financial software.
  • Access level passwords (maximum of five) can be set in the program to discourage the casual viewing of contribution information by unauthorized people. Access Level 1 allows full access to the program and administrative functions. Access Level 2 allows entry of all information and the generation of all reports without access to administrative functions. Access Level 3 does not allow entering or editing of contribution or pledge information and limits report generation to reports that do not contain contribution or pledge information. Access Level 4 allows only the generation of the Activity Reports, Participation, Member Directory and Mailing Labels. Access Level 5 only allows entry of contributions using envelope or account numbers without displaying giving unit names.
  • The Windows version of the Contribution System can be used by multiple users on a network.
  • To help you maintain a regular back-up routine, you can set an option in System Options to copy the required data files to a location you specify. You have the option to copy the files each time you exit the Contribution System.
  • You can set a maximum of 1000 contribution categories (giving areas) (Examples: Local Church Expense, Benevolence, Improvement, Flowers, Organ Fund, etc.).
  • You can set a maximum of 1000 church committees, organizations, groups, or activities (Examples: Church Council, Finance Committee, Adult Choir, Altar Guild, Ushers, Worship Assistants, Trip to St. John's Church, etc.).
  • A comprehensive Contribution Reference help system provides answers to questions regarding the set up and specific use of the system.
  • A comprehensive Context Help system provides quick answers about the use of a displayed program input window. The <F1> keyboard key or the Help button on the displayed program window accesses the Context Help system.
  • An excellent Tutorial is provided to teach you the basic operation of the system. After you complete the tutorial, you can generate other reports and explore other options of the program.
  • Incremental Updates of the Contribution System (Release 4) for Windows can be downloaded free from our web site until the next major release.
  • Registered users of the MS-DOS version 3.00 or later of the Church Contribution System who switch to the Windows version of the Church Contribution System will receive a utility that will convert their MS-DOS data to the new Windows format. They will not have to retype all the membership and contribution information to use the Windows version. If you currently use the Time and Talent feature of the MS-DOS version, your list of Time and Talent categories will be converted to the Windows format. Because of the expanded Activities and Personal Information features of the Windows version of the program, you will have to reassign members currently assigned to Time and Talent categories to Activities.
  • Import Utility: A utility is available at an additional cost that will import basic member data (name, address, phone) from other sources (for example, data created by other programs) into the Church Contribution System for Windows during the initial set up of the program. To use the Import option, you must be able to prepare the data for importing in a specific format in a text file.
